Privacy Policy

What information RoadMatch collects, why, who it is shared with, how long it is kept, and the rights you and your customers have.

Effective September 1, 2026

Scope

This policy explains how Conscious Pathways LLC, doing business as RoadMatch, handles personal information in connection with the RoadMatch service and website.

For the customer records a dealership enters into RoadMatch, the dealership is the controller and RoadMatch is a service provider or processor acting on its instructions. Consumers who want to exercise rights over records held by a dealership should contact that dealership; we will assist it in responding.

Information we collect

  • Account information — name, work email, job title, role, password credentials handled by our authentication provider.
  • Dealership information — business name, branch names, business address, business phone, and the inventory website you supply.
  • Customer records your staff enter — a lead's name, email, phone, notes, showings, saved units, and preferences.
  • Inventory data — listings, specifications, prices, and photographs read from the inventory website you direct us to.
  • Usage data — searches run, features used, pages viewed, timestamps, approximate location derived from IP, device and browser information, and error logs.
  • Billing information — subscription status, plan, and billing contact. Card numbers are handled by Stripe; we do not store full card details.
  • Support communications — messages you send us.

Why we use it

  • To provide, operate, secure, and support the service.
  • To sync and organize your inventory and run AI matching.
  • To authenticate users, prevent fraud and abuse, and protect the service.
  • To bill you and manage your subscription.
  • To respond to support requests and send service and security notices.
  • To improve reliability and quality of the product, using aggregated or de-identified data where possible.
  • To meet legal obligations and enforce our agreements.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

Who we share it with

We share personal information only as needed to run the service:

  • Subprocessors — hosting, database, authentication, email delivery, payment processing, and AI providers. See the Subprocessors page.
  • Within your dealership — your workspace members can see the workspace's data according to their role.
  • Professional advisers, in confidence, where necessary.
  • Authorities, where we are legally required, after review of the request.
  • A successor, in a merger, acquisition, or sale of assets, subject to this policy.

AI processing

Listing content, photographs, and search text are processed by third-party AI providers to deliver the matching features. We do not permit those providers to use your Customer Data to train their general-purpose models. See the AI Disclosure for what this means in practice.

Security

We use encryption in transit, access controls that scope data to a single dealership workspace, row-level database authorization, least-privilege service credentials, and audited administrative access. No system is perfectly secure, and we cannot guarantee absolute security.

If a breach affects your data, we will notify you without undue delay and as required by law.

Retention

We keep Customer Data for as long as your subscription is active. After termination we retain it for a limited wind-down window so you can export it, then delete or de-identify it, except where we must keep records for legal, tax, accounting, or dispute purposes. Backups are purged on their ordinary cycle.

Your rights

Depending on where you live, you may have the right to access, correct, delete, port, or restrict use of your personal information, to withdraw consent, and to appeal a refusal. California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and limit use of sensitive information, and the right not to be discriminated against for exercising them. We do not sell or share personal information as those terms are defined there.

To exercise a right, email team@roadmatch.app. We will verify your request and respond within the period the law requires. If your information is held in a dealership's workspace, we will refer you to that dealership and support its response.

Cookies and similar technologies

We use cookies and browser storage that are necessary to run the service — keeping you signed in, maintaining your session, remembering interface preferences, and protecting against abuse. We use limited analytics to understand reliability and usage.

We do not use third-party advertising cookies. You can block cookies in your browser, but the workspace will not function without the ones required for sign-in.

Children

RoadMatch is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact team@roadmatch.app and we will delete it.

International transfers

RoadMatch is operated from the United States and data is processed there. If you access the service from outside the United States, you understand your information will be transferred to and processed in the United States, where data protection laws may differ.

Changes and contact

We will post any update here and change the effective date. For material changes we will give notice before they take effect.
